HR responsibilities
• Keeping Company Organization Chart updated
• Receiving the personnel requirements from other departments
• Follow up probation evaluation and arrange labor contract signing &renewal
• Update & manage employee data sufficiently & confidentially
• Be responsible for recruiting, interviewing to fill vacant positions (searching and interviewing) as necessary.
• Training new labors for company regulations and labor laws
• Following labors’ monthly time attendance, and salary by software (ERP software), making monthly payroll & pay slip.
• In charge of labor contract, SHUI procedures, annual leave record.
• Secretary for Trade Union
• Follow and in charge all formality of foreigners.
GA responsibilities:
Implementing company’s general administrations such as logistics & procurement, booking transportation, foreigner’s accommodation, foreigners’ procedures, etc. As following:
+ Making some procedures for foreigners in the company such as extending visa, passport, work permit and others.
+ Booking airplane tickets, hotels, Tourism Company and etc.; contacting with foreign labor’s temporarily resident housing.
+ Supporting for team of monthly company magazine
+ Weekly arranging car rental for picking up foreign labors and staffs
+ Canteen management and guards
+ Company assets and stationary management; maintaining an adequate inventory of office supplies
+ Uniform management
+Arrange meetings and schedules for incoming visitors
+Translation of specializing documents
+ And administrative others

HR & GA Senior staff
• Making recruitment planning and take care all recruitment activities, ensure that qualified candidates are recruited timely to meet the needs of department;
• Setting up internal labor law and review it every year.
• Setting up compensation and benefit policy and review it every year
• Preparation of Human Resource reports and statistics;
• Consulting to General Director about Human Resource Policies;
• Controlling monthly salary payroll, daily record, overtime calculation, ensure payment monthly salary on time in confidential.
• Manage social insurance, medical insurance, ensure do it under Vietnam insurance law.
• Controlling training contract, probationary contract, labor contract for employee
• Solving personal problem of employees including reward and discipline;
• Controlling transportation for employees working outside including budget and planning;
• Receive and update daily legal documents under the law;
• Controlling new visa and passport, work permit for foreigners;
• Supervise the cleaner team, clinic room
• Supervise the security team;
• Setting up and training fire protection team;
• Controlling canteen and checking meal and ensure quality of meal for employee

General Affairs and Human Resources Senior Officer
MAIN HUMAN RESOURCES TASKS:
1. Compensation & Benefits
Payroll:
• Process monthly payroll for all employees.
• Responsible for related compensation issues such as Annual Salary Increase, Bonus, other special payment, i.e. commission, gasoline allowance, vehicle allowance, mobile phone reimbursement.
• Salary deduction in case of leave without pay.
• Deduction on Personal income tax, Social Insurance Fee.
Benefits:
• Completing total procedures of Compulsory Social Insurance (as Insurance Vietnam Law)
• Keeps update on benefits provided for employees, by job rank and file, by business unit.
2. Recruitment:
• Coordinates with the concerned departments regarding job profile, post the vacancy on the Co.’s board,
• Contacts the selected agency to place the advertisement through internet or assigned the recruitment agency to do the search.
• Pre-screening qualified candidates and makes appointments for the interview and test.
• Short-listed potential candidates and coordinates with the concerned Managers/Directors to interview.
• Prepares offer letter and letter of Employment for the selected candidate to sign before starting employment.
• Manpower Planning
• Job design and analysis written into job description and specification
3. Performance Evaluation:
• Prepares performance evaluation forms for all employees to be distributed to concerned managers, supervisors and above in March of the year.
• Follows up the completed performance evaluation forms for data collection and returns the forms to direct supervisors to review with their subordinates
4. Training & Development:
• Making induction program for Newcomers
• Circulates training documents to all concerned managers.
• Records training courses, period of attendance and cost in employees personal file.
• Coordinates on in-house and/ or outsourced training, if any.
5. Employee Personal File/Relations:
• Updates employees’ personal files.
• Confirms completion of all required legal documents are retained in an individual file.
• Processes/implements HR policies including disciplinary actions, etc..
• Recommends /implements activities to improve employee’s relations.
6. Legal matters:
• Contact local authorities for labor law, police report when requested, &work permit, visa, resident card for foreigners.
• Prepare report requested by local authorities.
7. Personal Income Tax
• Follow to register Tax code and dependents’ tax code
• Making monthly, yearly PIT Finalization for both Vietnamese and foreigners
ADMINISTRATION TASKS
1. General administration
Carry out the general administration function of the organization, managing day-to-day general administrative affairs including:
- Work with building’s management to solve all problems related to office building.
- Manage office property insurance
- Manage all office facility include inventory record for office furniture.
- Manage office renovation
2. Administrative management
Deal with and manage outsourcing companies/ service suppliers for office lease, transport, accommodation, office supplies, etc. Manage the organization of administration, projects annual plans, as well as visa, work permit and related matters including:
- Act as a contact point with local authorities
- Deal with, manage and review office suppliers for transportation (taxi, car rent), accommodation (hotels), catering, air-ticket booking, postage, plant maintenance, office renovation, office furniture… to make sure they are “value for money” ones
- Solve all issues related to visas & work permits for expats. Make sure all expats at BUV legally work and stay in Vietnam
- Take care of all new expats when they join BUV. Assist them to solve all issues when they arrive if needed
